Purpose for the job:
Under the general supervision of the Representative, serves as principal assistant to the Representative, carrying out broad administrative functions, including coordination and guidance to secretarial staff, to ensure the efficient management of the Representative's Office.
Summary of key functions/accountabilities:
Analyses and maintains an overview of the work of the office of the Representative to ensure that timely administrative support is provided. Organizes daily agenda and
meetings, participates in meetings and discussions on important and sensitive issues, interprets and assesses the impact of changes. Provides guidance to, and coordinates
the work of secretarial staff in the Representative's Office.
Impact of Results
(a) Describe the type of decisions or recommendations regularly made and the impact on other persons or the work of the office.
On-going provision of administrative support carried out under minimal supervision. Judgement and initiative required in the interpretation and application of rules/procedures and in connection with sensitive and confidential issues. Decisions/recommendations are made regarding improvements in work processes and systems to affect overall efficiency of the Representative's office as well as Sections/Field Offices, and in connection with urgent and sensitive issues; these may affect the well-being of staff and the image of the organization.
(b) Describe the most damaging error(s) that could be made in the work and the consequences they would have.
Errors in protocol, planning/organization of high-level visits/meetings/receptions, briefing notes to the Representative and advice to staff, may result in loss of credibility and/or embarrassment for ICO with external counterparts and contacts (Government departments, donors, NGOs), Regional Office, HQ. This will impact on staff, and the image of the organization.

Recruitment Qualifications
Education: Completion of Secondary Education required. University degree in business administration or any other related field desirable.
Experience: Minimum Seven years of progressively responsible work in the area of administration. Experience in providing support to the Head of an Office, knowledge of protocol an added advantage.
Language Requirements: Excellent knowledge of English – both written and spoken. Good knowledge of Hindi essential.
