About the Role
The Global Alliance for Improved Nutrition (GAIN) is seeking a Programme Assistant, Programme Services Team (Procurement & Project Support) to support the global Programme Services Team (PST) and Programmes Services Director with key day-to-day coordination and administrative tasks related to procurement and project management processes.
This role will be offered on a 3 years’ fixed term contract basis, subject to availability of funding. You will be based in GAIN’s India office in New Delhi, India.
Reporting to the Senior Advisor, Commercial Solutions, you will support the PST team and act as the first point of contact for various internal and external stakeholders. The Programme Assistant will need to demonstrate a high level of communication and interpersonal skills and managing multiple priorities will be an essential part of this role. The PST team is a globally dispersed team across the Europe, Asia and Africa regions and the Programme Assistant must be comfortable working within a remote, multi-country programme setting.
Key Responsibilities include:
- Supporting PST members in ensuring consultancy contracts, grant agreements, amendments and other legal documents are being drafted, approved and signed in a timely manner while liaising with the Finance and Legal teams
- Ensuring procurement processes are in compliance with GAIN Procurement Policy e.g., RFP, Selection, raising Purchase Orders, Contracting and Payments
- Maintaining payment log records and processing high volume of invoices in line with the GAIN procurement procedures
- Processing and gathering information required for financial planning and auditors’ requests (including forecasting and budgets)
- Assisting PST members in updating project profiles on our project information system (PRISM)
- Supporting PST Director in preparing relevant reports on project performance and status for SMT and board meetings
- Assisting with various recruitment related activities such as editing Job Descriptions (JDs), scheduling interviews, preparing induction schedules as well as inducting new PST starters on organisational processes
About You
The ideal candidate will have demonstrable experience in an administrative or project management support role in supporting multiple members of a geographically dispersed team. You will have proven experience in supporting budget administration, procurement and contracting processes preferably within a finance administration support role.
The postholder will also have experience working in a fast-paced environment, whether in the private or not for profit (NGO) sector and dealing with internal and external stakeholders at all levels.
You will be a strong team player with good command of written and spoken English and be willing to work in multicultural, multi-lingual environments. In addition to this, you will be highly flexible with the ability to accommodate different time zones with excellent skills in diary and time management. Candidates’ with knowledges in a second language, ideally French, Portuguese, Hindi and/or Bengali is a plus.
The ideal candidate will posess exceptional communication and stakeholder management skills as well as a strong ability to operate independently with evidence of a high degree of judgement and proactivity.
A relevant diploma or certification in related subject or relevant experience is required. You will be IT literate with excellent MS Office skills such as Excel, MS word, Outlook, and Power Point. Candidates’ with knowledge on SharePoint and Salesforce and exposure to finance systems (Navision) and contract management systems would be an advantage.
About our Offer
The starting salary on offer for this role is from INR 656,124 – INR 749,849 per annum (gross salary), depending on experience.
