About the Role
The Global Alliance for Improved Nutrition (GAIN) is seeking a Programme Assistant, Programme Services Team (Event & Travel Support) to support the global Programme Services Team and Programmes Services Director with day-to-day tasks related to organising online and in-person events, international work-related travel, and diary management. . This role will be offered on a 3 years’ fixed term contract basis, subject to availability of funding. You will be based in GAIN’s India office in New Delhi, India.
Reporting to the Senior Advisor, Commercial Solutions, you will support the PST team and acts as a first point of contact for various internal and external stakeholders. The Programme Assistant will need to demonstrate a high level of communication and interpersonal skills and managing multiple priorities will be an essential part of this role. The PST team is a globally dispersed team across the Europe, Asia and Africa regions and the Programme Assistant must be comfortable working within a remote, multi-country programme setting.
Key Responsibilities include:
- Providing logistical coordination and administrative support to PST members for events management (both in-person and online) including venue booking, diary invitations, setting up the right technology, preparing and disseminating materials, contacting speakers, etc.
- Supporting related procurement tasks like raising POs, paying invoices or travel expenses
- Helping with processing and gathering information required for financial planning and auditor’s requests related to events (including forecasting and budgets)
- Providing travel support to PST team members for complex travel itineraries and including assistance with visa processing
- Managing day-to-day travel coordination and diary enquiries / scheduling for the Director of Programme Services
- Assisting PST members in arranging complex meetings with a large number of attendees, and at times attendees external to GAIN. Ensuring strict compliance with GAIN safeguarding and security provisions for all travellers to PST events
About You
The ideal candidate will have demonstrable experience in an administrative or project management support role in supporting multiple members of a geographically dispersed team. You will have proven experience of organising online and in-person events and associated logistics including visas, venues / hotels and flights etc.
The postholder will also have experience working in a fast-paced environment, whether in the private or not for profit (NGO) sector and dealing with internal and external stakeholders at all levels.
You will be a strong team player with good command of written and spoken English and willing to work in multicultural and cross functional environments. In addition to this, you will be highly flexible with the ability to accommodate different time zones with excellent skills in diary and time management. Candidates’ with knowledge in a second language , ideally French, Portuguese, Hindi and/or Bengali is a plus.
The ideal candidate will posess exceptional communication and stakeholder management skills as well as a strong ability to operate independently with evidence of a high degree of judgement and proactivity. A relevant diploma or certification in related subject or equivalent experience is required. You will be IT literate with excellent MS Office skills such as Excel, MS word, Outlook, and Power Point.
About our Offer
The starting salary on offer for this role is from INR 656,124 – INR 749,849 per annum (gross salary), depending on experience.
