The finance assistant, under the general supervision of the Senior Finance Assistant provides support in a range of finance related functions for India Country Office.
Summary of key functions/accountabilities:
1. Undertake role of Local Focal Point (LFP) to review invoices for submission to Global Shared Services Centre (GSSC) for processing. Review the invoices and complete the request in MyCase Portal. Attach supporting documents, provide additional information/details requested by GSSC. Monitors the case till completion of the request by GSSC. Initiate request to GSSC for payment reversal transactions, asset retirement, bank reconciliation, etc.
2. Processing local salaries by computing and entering of overtime, entering local Staff Association, local Credit Union deductions and any other payments/deductions. Assist in preparation and issuance of annual salary certificates.
3. Responsible for preparation of cheques for rupee and dollar payments/arrange bank transfers as required. Responsible for arranging payments in foreign currency (other than USD & Euro) through bank.
Safe custody of cheques, and other valuable/serially numbered documents (e.g. Sales Tax Exemption Forms). Responsible for monitoring re-order levels for cheque books and sales tax exemption certificates, and their record keeping.
4. As a primary petty cash custodian maintain petty cash for the office including review and inputting of petty cash vouchers, disbursement of petty cash, maintaining cash register and replenishment of petty cash. Ensure monthly and year-end closure activities for Petty Cash.
5. Provide support for updation and monitoring funds flow, to ensure economic and timely funding of bank (Rupee & USD) accounts and preparation of Bank Optimization.
