Objective of the Position

WFP is seeking to hire Business Support Assistant, based at the offshore office of Headquarters Global IT Service Desk in New Delhi, India. The Business Support Assistant will be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.

He/she will work in a larger team setup and is expected to deliver accurate business support services in an organized manner. The incumbent will assist the team with day-to-day general office operational activities related to HR, Procurement, Administration, and documentation.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the general supervision of the Technology Division and the direct supervision of the ITSD Manager, the Business Support Assistant will be responsible for performing the following key functions:

· Provide support in various business support activities in areas of work allocated by the Manager.

· Provide assistance on general HR, Procurement, and Admin queries and follow up actions, to ensure consistent and high-quality business support services are delivered.

· As Focal Point for support services, liaise with other internal units/offices on operational actions, such as Leave Management, Contracts, Overtime, Night differential and Shift Roster for ITSD, etc. and provide necessary information in order to enable timely business support services.

· Assist the Manager in HR actions related to recruitment and selection processes, maintain Learning and development database, including onboarding of new staff members, Medical Insurance plan inclusions; Pensions queries, separation formalities, etc.

Use HR management systems (SAP) to record variety of HR data including assistance in monitoring various deadlines. (e.g. contract management and Leave Balance etc.), ensuring compliance with the established deadlines and accuracy of HR data.

Assist the Manager in general HR/Administration and Procurement actions related to following up on purchase requisitions, procurement queries; support in the range of administrative services including facilities, Conference room, travel, protocol related, etc. and maintaining information, to contribute to the provision of a safe and comfortable working environment.

Generic Duties

  • Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
  • Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
  • Support processing and managing routine administrative and financial tasks, to contribute to the effective and timely management of resources.
  • Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
  • take responsibility for themaintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  • Identify simple discrepancies in statistics and data, such as missing information and report to senior staff in order support clients to deliver their work.
  • Take responsibility of data integrity to facilitate availability of accurate information in SAP corporate systems.
  • Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards
  • Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
  • Perform other related duties as required.

Educational, Experience and Language requirements

Education: Completion of Secondary School Education. A university degree in Business Administration/ HR/Management or any related field will be an added advantage.

Experience: Four or more years of experience in general administrative work including at least one year in the field of human resources, administrative services, accounting or other related work. Candidates having experience in the BPO/IT enabled services organization will be preferred.

Good working knowledge of MS Excel, MS Word, MS Power Point is required and knowledge of SAP system will be an asset.

Languages: Fluency in both oral and written communication in English is a requirement.
