Under the general supervision of the Chief of the section, the position would be working under the direct supervision of the Partnerships Specialist (NOC) and would be responsible for providing support for the operational, monitoring and internal and external communication and reporting related work for Public and Private Sector Engagement for ICO in the new CPD. The incumbent would be responsible for creating and maintaining databases, internal and external communication and outreach, documentation and filing of PPSE related documents. The broad mandate of the position would be to support baseline, end line survey exercise for the PPSE function and in liaising with donors, partners, internal colleagues at the Delhi and state level for coordination on programmes and activities related to PPSE for the smooth functioning of the PPSE Outcome and activities, including supporting the organization of workshops, events and trainings, developing reports and minutes and presentations related to these, along with other standard UNICEF tasks for a Public Relations Assistant.

Key function, accountabilities and related duties/tasks

Summary of key functions/accountabilities:

  • Create and maintain a database of active and prospective partners and support in the screening of potential partners as per internal PFP processes.
  • Manage internal and external communication outreach in the form of managing mailing lists, sending required mailers, content for intranet, website, newsletters, etc.
  • Maintain a good filing system on donor wise contributions (electronic/manual) and related documents including any reports, documents, presentations and proposals in the section.
  • Support coordination with State and Programme focal points and consultants for private sector engagement activities and follow up on obtaining project proposals, drafts and reports.
  • Coordinate and provide support for the organization of workshops/seminars/training programmes/special events/field visits etc. for the donors and respective programmes assigned. Liaise directly with donors, partners and UNICEF colleagues at Delhi and State level on any of the above mentioned activities related to logistics, administrative arrangements and smooth conduction of the meetings and visits.
  • Support baseline, mid-line and end-line data collection/survey exercise proposed under PPSE Outcome and framework.
  • Participate in network/coordination meetings and prepare minutes/reports. Prepare background materials, briefing notes and presentations for meetings and workshops.
  • Perform other duties, as required.
  • Impact of Results:

  • The type of decisions regularly made and the impact of those decisions.
  • Decides on day to day operational issues that have been already broadly approved by the supervisor. Any error in decision-making may result in short-term impact on the goodwill generated by the corporate sector.
  • The type of recommendations regularly made and why these are important.
  • The incumbent is expected to provide to the supervisor recommendations on alternatives and ways within the framework of the organization’s established rules and regulations to improve the function under his/her responsibility for better effectiveness and efficiency of the unit and the office.
  • The most damaging error(s) that could be made in the work and the consequences they would have.
  • Lack of understanding of UNICEF’s needs and corporate partnership guidelines and an incorrect approach would lead to ineffectiveness of partnership delivery and misuse of financial resources. Such errors would be detrimental to the organization and impede the effective functioning of the team.

    Requirements of the position (QUALIFICATIONS, SKILLS AND COMPETENCIES):-

    Education:

    Completion of secondary education. Technical or university courses related to the field of work and job description is an asset.

    Experience:

    Minimum six years of progressively responsible clerical or administrative work and experience of working on budget monitoring required.

    Language Requirements:

    Fluency in English is required. Knowledge of another official UN language or a local language is an asset.
